The CURA Xerox copier can be used to scan text, photos, and other documents. Each page will be stored as a separate file in Xerox Folder on the Shared Drive. To scan, follow these steps:

1. Log onto the Xerox copier as if you were going to copy. Once you have successfully logged in, select the “Network Scan” button on the upper right corner of the Copy screen (output options, etc.).

2. Choose your options for scanning. Use Tab 4 to select Output Format options. This will require first touching the right arrow to get to this tab. You should make two choices from this screen:

a. Document Name.  Name the document with a unique name so you can easily find it in the shared folder—for example, Doug. Each scan you make will then have this name, with the scan number appended to the file name (Doug001, Doug002, etc.).

b. Document Format.  You can save your scans as:

  • PDF (best for text, but works for images as well)
  • JPEG (best for low-resolution images)
  • TIFF (best for high-resolution images)

3. Once all of the options are selected, then you can behave as if you were photocopying. Simply insert document and hit Start. Each scan will be saved as a separate file on the shared drive in the Xerox folder for retrieval.

4. Scanning Text. If you need to convert a paper document into a digital text document, you will need to choose PDF as your document format (see step #2 above). This document can then be converted to editable text using the full version of Adobe Acrobat with Optical Character Recognition (OCR). CURA has several copies of this software: Anne’s computer and the computer lab machine both have it installed. Anne can run the software for you, but you are responsible for cleaning up the document to make sure all of the text scanned accurately.
